Privacy Policy

This policy explains how Công ty TNHH SmartLogiX handles personal data when you visit this website and when your company uses FleetPulse, under Vietnam's 2025 Personal Data Protection Law and its implementing rules.

1. Our two roles

• For website visitors and people who sign up, we are the data controller.
• For the data a customer company puts into FleetPulse (its drivers, staff and customers), that company is the controller and we process the data on its instructions.

2. What we collect

• Contact form: name, company, phone, email, fleet size and your message.
• Accounts: name, email, password (stored only as a hash), role, sign-in and activity logs.
• Drivers (entered by the company or through the Driver app): name, phone, licence, the truck's GPS position during trips, document photos, issues, expenses and advances.
• Technical: IP address, browser and time of access, used for security and troubleshooting.

3. Purposes

• Contacting you and presenting the product at your request.
• Providing, securing and supporting the FleetPulse service.
• Invoicing and meeting our legal obligations.
• We never sell personal data, and we do not use a company's driver or customer data for our own purposes.

4. Storage and transfers

Data is stored on Amazon Web Services infrastructure in Singapore, encrypted in transit and backed up nightly (kept 30 days). Storage outside Vietnam follows the legal rules on transferring personal data abroad.

We use a few providers to run the service: cloud hosting, email delivery, and the e-invoice and GPS providers the company chooses. They may process data only to provide their service to us.

5. Retention

• Contact requests: up to 24 months after the last contact.
• Sign-ups with an unconfirmed email: expire after 24 hours.
• Company data: while the service is used and up to 90 days after it ends, unless the law requires longer (e.g. accounting records).

6. Your rights

You have the right to be informed, to access, correct and delete your data, to withdraw consent, and to restrict or object to processing, as the law provides. Drivers and staff of a customer company should contact that company first; we will help it act on the request.

7. Cookies and analytics

This website uses no advertising cookies. If visit statistics are enabled, we use a tool that sets no cookies and does not track individuals.
